Overview

One of our esteemed clients in the wealth management industry offers a comprehensive suite of services, including financial planning, investment management, tax planning, estate planning, insurance solutions, trustee services, and business retirement plans. For this engagement, our focus was on their tax planning team, which faced challenges with their current state tax planning and scheduling solution. The client engaged Vantage Point as their Salesforce consulting and implementation partner, leveraging our depth of knowledge and expertise in the wealth management space.

Challenges

The client's in-house tax planning and scheduling solution was unable to provide the organization with the ease of scalability it required. Moreover, it was disparate from their implementation of Salesforce Financial Services Cloud (FSC), leading to inefficiencies and integration challenges.

Solution

The client partnered with Vantage Point to implement Salesforce Lightning Scheduler, tailored to their specific use case requirements. This included the ability to send emails to tax clients allowing them to select time and day parameters, which would then be consumed by Salesforce to identify available times and schedule meetings and events. Clients received email confirmations with the option to reschedule, and meetings were set up with the assigned tax advisor.

The Salesforce Lightning Scheduler solution also needed to:

  • Allow for yearly recurring events and rollover of previous year events
  • Consider various calendar preferences (weekdays, time of day, hour of day, month, or date)
  • Schedule appointments based on assigned Tax Advisor availability and meeting preference details
  • Handle multiple locations, time zones, and varying appointment durations
  • Automate email notifications on a set schedule (e.g., 7, 5, and 2 days before the appointment)

Outcomes

The tailored and scalable Salesforce Lightning Scheduler solution not only supported the client's tax planning business scheduling activities but also laid the foundation for other priority use cases across the business. As a byproduct of multiple acquisitions, the client had many scheduling solutions in use across the organization, including a custom solution built on Microsoft Dynamics. This new solution provided the organization with an initial consolidation of solutions, resulting in cost savings, a more streamlined process, and a more efficient training and change management experience. Additionally, the solution was integrated with the Salesforce platform, reducing the need for end-users to switch between systems.
